# Resolve payoffs and manual-disbursement tasks

Start a payoff or manual-disbursement task by reading its reason, account, requested amount, and due date. A payoff needs a current confirmed balance and the approved final amount. A hardship target balance is a separate value; it is not automatically the creditor's actual balance. For a manual allocation, verify the available cleared funds and intended destination. In this fictitious example, we allocate thirty-seven dollars to Casey's Capital One account and hold it while delivery routing is checked. This is a manual allocation, not a payoff or an actual transfer.

On the client's Disbursements tab, choose New Disbursement. For a creditor payment, leave Disburse To Client set to No, and select both the client's credit account and the matching creditor. Check the Company and scheduled date. Enter the approved amount and the appropriate status. Here, the saved record shows thirty-seven dollars and Hold. Leave disbursed and cleared dates empty until the corresponding events occur. Add a note explaining the purpose, evidence, and remaining check, then Submit. Reopen the new record to verify what was actually saved.

After saving, compare the disbursement list with the client's payment balance. The reopened record is still on Hold. Casey's example has two hundred dollars in cleared payments and thirty-seven dollars in disbursements, leaving one hundred sixty-three dollars available. Hold reduces available funds even though no output has been sent. Check that the amount appears once, belongs to the correct account, and agrees with the task. If the result differs from the approved request, investigate before making another record or releasing the hold.

When the missing evidence is resolved, review the held row and the permitted target status. Update Status changes the selected held disbursement. Update Status and Create Payment Record also creates a pending payment for the selected total. Use that second action only when the approved accounting procedure requires the extra payment record; it does not establish new settled funds. Verify the selected count, action, amount, and resulting records. Keep output, transfer, and settlement evidence separate, and close the task only when its required outcome is confirmed.
